Tracking Changes - Microsoft Word


Here's the scenario: your boss just sent you a Word document. She wants you to review it, and make any changes to the document that you think might be necessary. Trouble is, she wants to know what all the changes are.

Microsoft Word's ready for this, with a handy little option called <Track Changes>.

Open the document, and single-click on the <Tools> pull-down menu with your left mouse button.

In the <Tools> menu, position the mouse pointer over <Track Changes>.

A side menu will open. In this side menu, single-click <Highlight Changes>.

A window titled <Highlight Changes> will open.

Single-click in the box marked <Track changes while editing>. Single-click on <OK> to close the window.

Now, when you make changes to the document, those changes will be highlighted. Words you delete will appear with lines drawn through them, so you can see every little change you've made.

Of course, no one wants a finished document full of crossed out lines and highlighted words.

Once all the changes have been examined, you have to remove the highlighting. To do so, open the <Tools> pull-down menu, and select <Track Changes> again.

When the side menu opens, single-click on <Accept or Reject Changes>.

The <Accept or Reject Changes> window opens.

On the window's right are two <Find> buttons.

Single-clicking on these buttons will take you up and down the document to individual changes.

You can then choose to single-click on the <Accept> button to set the changes, or the <Reject> button to remove the changes.

There is also an <Accept All> button, if you want to accept all the changes at once, and a <Reject All> button.

When you've finished reviewing and accepting changes, single-click on <Close>.
